Checking an Applicant's ID for a DBS Check

dbs document inspection process

Once the applicant has completed the ID selection forms on our system, you will need to arrange verification of their identity documents. This is a crucial step in ensuring the accuracy and legitimacy of the application. There are two main methods for verifying an applicant’s ID: in-person verification and online verification via a video meeting.

Method 1: In-Person Verification

The most traditional and secure method of verifying an applicant’s ID is by physically inspecting their original documents. This process should be conducted face-to-face, ensuring the documents match the details provided in the application.

What to Check:

  • Original Documents: Ensure that the documents are genuine, undamaged, and not photocopies.
  • Photographic ID: Compare the photo ID (passport, driving licence) with the applicant’s face to confirm their identity.
  • Personal Details: Check that the name, date of birth, and address history match the information submitted.
  • Expiry Dates: Ensure the documents are valid and not expired.
  • Holograms & Watermarks: Look for security features on official documents, such as holograms and watermarks, to confirm authenticity.

Once you have reviewed and confirmed the documents, you can proceed with the application.

Method 2: Online Verification via Video Meeting

If an in-person meeting is not feasible, you can verify the applicant’s documents via an online meeting using platforms such as Skype, Zoom, or Microsoft Teams.

How to Conduct Online Verification:

  1. Schedule a Video Call – Arrange a time for the applicant to join a video call where they will present their documents.
  2. Check Photographic ID – The applicant should hold their photographic ID close to the camera, allowing you to compare their facial features with the photo.
  3. Verify Document Details – Ask the applicant to show each document clearly, ensuring you can read all details.
  4. Check for Security Features – Request that the applicant tilts their documents under the light to highlight any holograms or watermarks.
  5. Cross-Check Information – Ensure that the details match what has been submitted in the system.

While this method is convenient, you must ensure the video quality is sufficient to confirm all security features accurately. If any doubts arise, request an in-person meeting for further verification.

Next Steps

Once the verification is complete and the ID is confirmed as valid and accurate to the applicant’s details, you can proceed to payment and submit the application to the DBS. This step is essential in maintaining compliance and ensuring a smooth background check process.

By following these verification methods, you can confidently confirm an applicant’s identity and proceed with their DBS check securely and efficiently.
